Monash University Student Files Digitisation Program
Digitisation Plan
Quality control and assurance plan
6.1 Image accuarcy
To ensure image accuarcy the image:
- must capture all of the content of the source records
- the image must be legible.
Records and Archives Services sample 100% of the digitised images as part of the quality control process.
Please see Appendix A "Quality Control (and Tracking) Spreadsheet Used by Records and Archives Services for Boxes of Scanned Student File Documents'", for a further breaddown of what is checked and how this is recorded.
6.2 Logging and analysis
Records and Archives Services staff will log all known errors in the quality control workbook (see Appendix A). As this quality control workbook is a Microsoft Excel document, the filtering properties within Excel can be used for analysis of any error trends. For instance, a worksheet could be filtered in order to show all of the boxes that had errors with double-sided scanning.
Records and Archives Services will analyse the quality control workbook on a half-yearly basis, in order to detect error trends. Where substantial error patterns are identified, the relevant Monash University area will be contacted by Records and Archives Services, in order to discuss ways in which the area can reduce/eliminate these errors. |
