Coursework Scholarships Retention Policies

Full-time Enrolment Policy

The table below indicates which scholarships and bursaries require students to be enrolled full-time (FT).  If a student is in receipt of a scholarship that requires a full-time enrolment and enrols in a part-time (PT) study load (less than 18 credit points), the scholarship will be terminated. All other scholarships and bursaries allow students to be enrolled either part-time or full-time. 

Students enrolled part-time with approved scholarships will have tax deducted from their scholarship payment.

Note: Students in receipt of Commonwealth Scholarships may be able to study part-time in exceptional circumstances only. This approval must be applied for in writing to the Coursework Scholarships Unit and will be assessed on a case by case basis.

Probation and Suspension Policy

Holders of centrally administered coursework scholarships will be assessed no less than annually, and within one or two weeks of the release of results in semester one or two, for continuance of their awards. Where a scholarship/bursary holder's performance falls below the required average, the following procedure will be followed:

  1. If the student applied for and was granted special consideration of appropriate severity, or if other extenuating circumstances apply and are recognised by the faculty, no action will be taken and the student will receive scholarship payment as per usual, otherwise
  2. The student will be notified in writing by the Coursework Scholarships Unit that their performance is under review and they are on probation. Payment will be made to the student whilst on probation.
  3. If the student meets the required minimum average in the semester following being placed on probation, the probation status will be removed, or
  4. If the student does not meet the required average in the semester following being placed on probation their award will be suspended for the following semester. Payment will not be made to the student whilst on suspension.
  5. If the student meets the required minimum average in the semester they are suspended, their scholarship will be reinstated, however no retrospective scholarship payments will be made for the period of suspension, or
  6. If the student does not meet the required minimum average in the semester they are suspended, their scholarship will be cancelled and no further payments made.
  7. Steps 2 to 6 apply in all cases excepting where step 1 may apply in any given semester.

Note: students in receipt of one year scholarships or bursaries are required to maintain the specified grade average in the first semester they receive the scholarship in order to receive the payment in the following semester.

Assessment of Grade Average Business Practice

The following process will be utilised to assess a students Grade Average each semester:

  1. Students will be assessed using their overall course GPA as generated via the student system (Callista).  The GPA methodology allocates to each grade a score between 0 and 4 i.e. High Distinction = 4, Distinction = 3, Credit = 2, Pass = 1, Near Pass = 0.7, Fail = 0.3 and Withdrawn Fail = 0. Each score is then weighted by the credit points for the unit and the weighted scores are summed together. The summed score is then divided by the total number of credit points undertaken.
  2. Students who fall below the required grade average for their scholarship will then be assessed for their Grade Average for the most recent semester.
